Anforderungen

  • Bachelor’s degree

  • Fluency in English and French
  • Experience with Outlook, Word, and Excel

Aufgaben

  • Manage projects independently from conception to completion
  • Handle confidential matters with high discretion
  • Manage and supervise site apprentices
  • Collaborate with vocational training partners
  • Lead apprentice interviews and selection processes
  • Coordinate apprentice onboarding and regular one-to-ones
  • Support final evaluations for apprentices
  • Deliver site and management communications via mail
  • Update all information displays within the building
  • Respond to inquiries in administrative mailboxes
  • Manage and restock office supplies
  • Coordinate internal and external mail distribution
  • Provide administrative support to internal visitors
  • Manage travel arrangements for the leadership team
  • Create guest travel profiles and book transport
  • Coordinate accommodation and travel rescheduling
  • Manage administrative aspects of visa applications
  • Create and process expense reports
  • Create and track purchase orders for supplies
  • Match invoices to purchase orders for payment
  • Book conference rooms and organize room setups
  • Coordinate catering for site and departmental meetings
  • Prepare meeting agendas and presentations
  • Manage meeting invites and dial-in details
  • Capture action logs and meeting minutes
  • Communicate visit details and welcome visitors
  • Prepare introduction presentations for guests
  • Book visitor accommodation, transport, and parking
  • Provide visitors with Wi-Fi and building access
  • Manage calendars and Outlook distribution lists
  • Administer user access permissions for SharePoint
