Managing corporate document lifecycle, including preparation, signing, and storage. Coordinating official document signing across departments and with executives. Minimum 3 years office experience in a multicultural environment required.

- Minimum 3 years office experience in multicultural environment
- Intermediate MS Office skills
- CFC "employe de commerce" or equivalent
- Proven corporate administrative experience, preferably in secretarial, document management, compliance, or contract administration
- Excellent organizational skills, ability to manage multiple tasks and prioritize
- Exceptional attention to detail and accuracy in handling documents and data
- Strong communication and interpersonal skills, professional interaction with stakeholders
Aufgaben
- Manage lifecycle of critical corporate documents
- Ensure documents are prepared, signed, validated, and stored
- Coordinate signing of cross-departmental official documents
- Facilitate signing by executives, board members, legal representatives
- Coordinate signing of Finance Department documents
- Follow signing instructions from external law firms
- Ensure accuracy and completeness of documents
- Maintain records of signed documents
- Track status of documents throughout signing process
- Scan and save documents electronically
- Manage notarization process
- Schedule appointments with notaries
- Review documents before notarization
- Facilitate document legalization for international use
- Coordinate with government agencies, embassies, consulates
- Submit documents for legalization
- Monitor progress of legalization
- Address issues or delays in legalization
- Manage Credit Risk documentation
- Coordinate signing of Credit Risk documents
- Scan and save Credit Risk documents in Alfresco
- Organize documents by counterparty name and filing number
- Maintain document management system
- Ensure easy access to corporate records
- Organize filing in safe room
- Manage monthly billing for notarization, legalization, translation
