Hello and welcome to Nejo!


These terms of use form the basis for your use of our services. They explain what you can expect from us and what we expect from you.

In short:

  • These terms of use apply to the entire relationship between Nejo FlexCo (referred to as: "Nejo") and you as a job seeker.
  • They apply to our website https://mynejo.com and all related platforms that link to these terms of use.
  • Use of Nejo is not possible without agreeing to these terms of use.
  • Nejo is intended exclusively for persons aged 15 and older.

Are you a company using our business products? Then our special business terms apply to you, which we will provide separately when concluding the contract.

Using Nejo

You can find all our offerings on our website.


Without registration, you can:

  • Search for jobs: Find suitable job offers easily with keywords and filters.
  • Apply: Apply directly for interesting jobs. Note, however, that you must enter your data anew for each application.
  • Stay informed: Access useful career tips and training information in our blog.

Use for personal purposes only

You may only use the information on our website for your personal job search and private use. Automated extraction of our platform (for example, through bots or scraping tools) is not permitted.


This also applies to automated or mass use via third-party platforms or AI interfaces.

Where do the job listings on Nejo come from?

We want you to know how job offers appear on Nejo.

  • Third-party listings: The jobs on Nejo come from various companies, not from us.
  • Automatic collection of job offers: The Nejo web crawler collects job listings directly from employer websites.
  • Selection of listings: We do not necessarily display all job listings available on the market, although we continuously strive to increase the number of job offers on Nejo.
  • No control over content: We have no influence over the exact content of the original listings or the conditions set by employers.
  • No guarantee: We cannot guarantee that all information in the listings is complete, correct, or legally compliant.
  • Your due diligence: Please review the content carefully before applying – it is your responsibility to evaluate the offers.

Using Nejo via Third-Party Platforms (e.g., ChatGPT)

Nejo can also be used via third-party platforms, e.g., AI platforms like ChatGPT. In this case, Nejo is provided as an external service within the respective platform.


When using via third-party platforms:

  • use occurs without creating a Nejo user account,
  • there is no association with an existing Nejo profile,
  • and no independent contractual relationship is established between you and Nejo beyond the third-party platform.

Nejo provides exclusively content results (e.g., job suggestions or information) via the third-party platform. The use of the third-party platform itself is subject to the respective terms of use and privacy policies of the platform provider.


Nejo has no influence on the availability or data processing of the third-party platform and is not responsible for it.

How do we use Artificial Intelligence for processing job postings?

We use state-of-the-art technology to make your job search easier:

  • AI summaries: We use Artificial Intelligence to automatically summarize job listings and clearly present important information such as salary, benefits, responsibilities, and requirements.
  • Possible inaccuracies: Please note that these AI summaries are not perfect – they may contain errors or omit information.
  • Check original listings: We always link to the original job listing. It is important that you read it thoroughly before applying.
  • No liability: Unfortunately, we cannot assume responsibility for damages that may arise if you rely solely on our AI summaries and they are incorrect or incomplete.

Profile creation and account data

Creating a profile on Nejo is voluntary. You can delete your profile completely at any time in your account settings.

What data do we collect and store during registration?

When creating your Nejo profile, we only collect the most essential information:

Required information

  • Email address: For login, communication, and job notifications
  • Name: For personal address and profile identification

Voluntary information

  • Additional profile information that you add yourself, for example manually or through the “Search with Resume” or “Apply with Resume” function.

Legal basis for data processing

We process your profile data on the following legal bases:

  • Contract performance (Art. 6(1)(b) GDPR): Provision of our job search platform
  • Consent (Art. 6(1)(a) GDPR): Sending job notifications and marketing emails (only with your explicit consent)
  • Legitimate interest (Art. 6(1)(f) GDPR): Platform security and improvement of our services

Storage duration for profile data

Active profiles:

Your profile data remains stored as long as you actively use your account or until you delete it via the account settings

Inactive profiles:

  • After 24 months of complete inactivity (no login, no email interaction), you will receive a reminder
  • 6 months after the reminder, we will automatically delete your profile if you do not respond
  • You can delete your profile yourself at any time via the profile settings

What counts as "inactivity"?

  • No login to your profile
  • No opening or clicks in our emails
  • No use of our services

Using the “Job Alert” function

How do job notifications work?

Creating notifications

  • During your job search on Nejo, you have the option to save individual searches as a “Job Alert” to be informed by us about brand new jobs for your search
  • You choose how often you want to be notified (daily or weekly)
  • You can have multiple different job alerts at the same time

What do you receive?

  • New job listings that match your search criteria
  • Clear emails with the most important job information
  • Direct links to the complete job postings

Data processing for job notifications

What data do we use?

  • Your email address: For sending notifications
  • Search criteria: The job search parameters you saved (keywords, location, industry, etc.)
  • Delivery preferences: Frequency and timing of notifications

Legal basis

Consent (Art. 6(1)(a) GDPR): You explicitly consent to receiving job notifications

Email delivery

  • Delivery is through certified email service providers within the EU. Currently, Microsoft Azure and Customer.io are engaged for this purpose.
  • We cannot guarantee that all emails will reach your inbox (spam filters, server issues, etc.)
  • Technical delays in delivery are possible

Storage duration for job alert data

Your job alert will be automatically deactivated by us 3 months after creation. Before this period expires, you can manually deactivate a job alert at any time.

How can you manage your job alerts?

  • Click the “Unsubscribe” link in any job alert email
  • Manage your notifications in your profile settings under “Job Alerts”

Quality of job suggestions

We cannot guarantee that all matching jobs are included in the notifications. The quality depends on your search criteria and the available job listings. Supplement job notifications with regular manual searches.

Using the AI functions “Search with Resume” and “Search with AI Chat”

With the "Search with Resume" function, we offer you the opportunity to find suitable job offers based on your uploaded resume. Modern AI technology is used here, which analyzes your resume and matches it with the job offers available on Nejo. The goal is to make particularly relevant and individual suggestions for you.

AI system classification and provider information

Our CV analysis system as well as the Search with AI Chat are classified as a high-risk AI system according to the EU AI Act (Annex III, Point 4(a)), as it is used for recruitment and selection of persons. As the provider of this AI system, Nejo FlexCo, Meldemannstraße 18, 1200 Vienna, is responsible for compliance with all applicable regulations.

Your consent

The use of the “Search with Resume” and “Search with AI Chat” functions is voluntary. The legal basis for processing your personal data is your explicit consent pursuant to Art. 6(1)(a) GDPR. In order for us to process your resume, we need your explicit consent. Therefore, before first use, you will be asked for separate consent. You can revoke this consent at any time with effect for the future – directly in your profile settings or by contacting us at hi@mynejo.com.

What happens to your resume?

  • Your resume is automatically analyzed to extract structured information – e.g., about your career path, education, skills, language skills, IT knowledge, project or industry experience, and your place of residence (if stated).
  • If included in the resume, personal data such as name, phone number, nationality, date of birth, and address are also collected. This information is stored securely in your profile only so that you can apply for jobs on Nejo with one click in the future.

Important

Information such as gender, nationality, date of birth, or address is NEVER used to determine suitable job suggestions.

  • The analysis of your resume is performed by an AI system based on Large Language Models, operated on servers within the EU (Microsoft Azure and Google Cloud). Microsoft Azure and Google Cloud act as our processors pursuant to Art. 28 GDPR. Data processing agreements have been concluded.
  • The information obtained is used to show you personalized job suggestions.
  • No fully automated decisions with legal effect take place – the final selection of a job is always made by you.
  • You can end the upload and processing at any time and delete your data.

Storage duration

You can delete your data at any time via your profile settings on Nejo. All personal data will then be immediately and irrevocably deleted by us.


Even if you do not revoke your consent, we only store your data for a certain maximum period:

  • CV raw data: 12 months after last use of the CV search function
  • Extracted profile data: 18 months after last use of the CV search function
  • Anonymized training data: Unlimited (as there is no longer any personal reference)

The storage periods start anew each time you use the CV search function.

How does the matching work exactly?

Our AI system analyzes keywords, skills, work experience, and education from your resume and compares these with the requirements from job listings. Semantic methods are used that recognize not only keywords but also contexts.

Important

The system may suggest suitable jobs to you. However, the decision whether a job really suits you is always yours. We explicitly recommend that you also use the traditional methods of job searching and not rely exclusively on AI-assisted search.

What happens with “Search with AI Chat”?

With Search with AI Chat, we ask you about your job preferences, your previous experience, skills, and preferences.


Important: We never ask for personal identification data such as name, age, origin, or similar. Please also do not proactively share such information with the chat.

  • The analysis of your chat inputs is performed by an AI system based on Large Language Models, operated on servers within the EU (Microsoft Azure and Google Cloud).
  • Our AI system analyzes your information in the chat conversation and compares it with the requirements from job listings. Semantic methods are used that recognize not only keywords but also contexts.
  • Please note: The suggestions are based on your information in the chat and the available job listings – they are not always perfect and represent only recommendations.
  • Microsoft Azure and Google Cloud act as our processors pursuant to Art. 28 GDPR. Corresponding data processing agreements have been concluded.
  • The information obtained is used to show you personalized job suggestions.
  • No fully automated decisions with legal effect take place – the final selection of a job is always made by you.
  • You can end the chat function at any time and delete your data.

Training data and bias mitigation

Our AI system was trained with synthetically generated CV data and real job postings from various industries and career levels. This ensures data protection and reduces bias risks. We implement continuous bias monitoring and mitigation to prevent discrimination.

Important measures against discrimination:

  • Exclusion of protected characteristics: Gender, nationality, date of birth, and address are never included in our job recommendations
  • No proactive collection of protected characteristics: We never ask you for gender, nationality, date of birth, age, or address.
  • Continuous bias monitoring: Regular review of algorithms for unconscious biases
  • Diverse training data: Use of representative data from various demographics and career paths
  • Transparent matching criteria: Focus exclusively on professional qualifications, skills, and experience

Use of your data for algorithm improvement

Should we use your data as training data for improving Nejo algorithms, this data will be fully anonymized so that no inference to your person is possible. This fully anonymized data is used exclusively to improve the matching algorithms.

System accuracy and limitations

Important notes on system performance:

  • The system may be less precise for very specialized or new professional fields
  • Career changes or lateral entries may not be optimally recognized
  • The quality of suggestions depends on the completeness and structure of the CV or the information provided in the AI chat
  • Known risks: Possible biases for underrepresented occupational groups, potential disadvantage for career changers

Please note: The suggestions are based on the information in the CV and the available job listings – they are not always perfect and represent only recommendations. Information such as gender, nationality, or date of birth is not included in the matching. No rejection or evaluation of your person takes place.

Important

Our AI job suggestions are intended as a supplement to your own job search, not as a replacement. We explicitly recommend that you continue to use the normal search function and actively search for jobs that interest you. The AI recommendations can help you discover jobs you might have overlooked, but they may not cover all positions relevant to you.

Human oversight and right to complain

Our AI system is subject to continuous human oversight. If you have problems or complaints regarding AI-assisted job suggestions, you can contact us at any time. You also have the right to lodge a complaint with the competent data protection supervisory authority.

GDPR and AI Act compliance

The processing of your data is carried out in accordance with the General Data Protection Regulation (GDPR) and in full compliance with the EU AI Act for high-risk AI systems. We ensure that:

  • you are informed about the use of AI as a high-risk system,
  • you decide for yourself whether you want to use this function,
  • you retain full control over your data,
  • your data is processed securely and for specific purposes,
  • the system is continuously monitored for bias and discrimination,
  • appropriate accuracy and robustness standards are maintained.

  • We assume no liability for the accuracy, completeness, or relevance of AI-generated job suggestions.

  • You are responsible for checking the suggested jobs for suitability and not limiting your job search exclusively to our AI recommendations.

  • The final decision on applications is always yours - our system does not make automated decisions with legal effect.

What do you need to know about our liability?

Availability of our platform

We do our best so that you can use Nejo at any time:

  • We strive to provide the platform without interruptions.
  • Sometimes short maintenance work is necessary, which we announce in advance if possible.
  • We keep these downtimes as short as possible.

Responsibility for content

It is important to know:

  • Nejo is not responsible for the content of job listings, as these are aggregated from third parties (employers).
  • As a job seeker, you are responsible for reviewing the listings before applying.
  • We cannot be responsible for requirements or conditions set by employers. Please ensure that the jobs meet your own requirements.
  • In rare cases, companies may share questionable or even unlawful content. We distance ourselves from such content and are not directly responsible for it as a platform.
  • Please use the “Report Job” function, which you can find in the detail view of each job. Our moderation team will promptly remove problematic content after review.

Liability for AI-assisted “Search with Resume” function

  • We assume no liability for the accuracy, completeness, or relevance of AI-generated job suggestions.
  • CV analysis and job recommendations are automated and may contain errors or generate unsuitable suggestions.
  • We are not liable for missed job opportunities that did not appear in our AI recommendations.

Limits of our responsibility

  • We cannot influence whether a company processes your application or contacts you.
  • We have no influence on whether your job search ends with a new job.
  • Nejo is not liable for the information you provide in applications.
  • We are not liable for claims or disadvantages arising in connection with the information you provide.

Limitation of liability

  • Nejo is only liable for intent or gross negligence.
  • Excluded from this is liability for personal injury and under the Product Liability Act.
  • No claims can be made against us for platform interruptions.

Changes to the Terms of Use

If we change these terms of use and you have an active email alert with us, we will inform you by email. We will inform you in due time of the exact date when changed terms of use will take effect.

  • After your notification, you have 2 months to object to the changes.
  • If you do not object within these 2 months, the changes are deemed accepted.
  • In our notification, we will point out that your non-response will be considered consent.
  • Your objection must be in writing – an email is sufficient.

Which areas cannot be changed?

Not all parts of our terms of use can be changed in this way. The fundamental contractual obligations remain unchanged, including:

  • The basic free nature of our service
  • The principles of data protection

However, technical adjustments, such as those related to cookies used, can be updated in this way.
