## Job Description
We are seeking a highly organized and efficient Team Assistant to join our dynamic team in Baar, Switzerland.
As a Team Assistant, you will play a crucial role in supporting our Legal, IT & Communications teams and ensuring smooth administrative processes as well as support the office management activities.
* Manage calendars, schedule meetings, and coordinate travel arrangements for team members
* Prepare and edit various documents, reports, and presentations
* Handle incoming calls, emails, and correspondence professionally and efficiently
* Organize and maintain filing systems, both digital and physical
* Coordinate team events, meetings, and conferences
* Provide general administrative support to ensure office operations run smoothly
* Act as a liaison between team members and other departments or external partners
* Assist with special projects and additional tasks as needed
* Contact with external services (notary, post, travel agent, etc.)
* Maintaining office procedures and manuals
* Order office supplies, refreshments and catering for meetings
* Request quotes, e.g., office renovation, new cleaning company, new courier service, repair work, bus company etc.
## Qualifications
* High school diploma or equivalent (required); Associate's or Bachelor's degree in Business Administration or related field (preferred)
* 2+ years of experience in an administrative or team assistant role
* Strong organizational skills with the ability to multitask and prioritize effectively
* Excellent written and verbal communication skills in both German and English
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
* Demonstrated ability to handle confidential information with discretion
* Proactive approach to problem-solving with strong decision-making skills
