# Shipment Coordinator & Lab Manager, Chapter Business Excellence, in Pharmaceutical Sciences (PS) (Temporary position for 2 years)

In the PS Business Excellence Chapter, we support together all Pharmaceutical Sciences Chapters, Portfolio Squads, and Communities, enabling scientists to focus on science. Collaboration and flexibility, paired with a can-do attitude and a growth mindset, are critical for success in this team. You will partner closely with your Business Excellence colleagues to provide key operational support to around 550 colleagues in the Pharmaceutical Sciences organisation. Our team’s success depends on working well with both people and technology, bringing the strengths of humans and AI together.
Within our Chapter, we enable the intersection of scientific understanding with business processes and operational skills. This approach enhances our ability to measure impact and resource investments, track progress, and make data-driven decisions using operational data for PS. An additional focus is to generate a positive impact on PS productivity with a sense of urgency and a commitment to continuous improvement.
### The Opportunity
**Shipment Coordination (~60%)**
As a Shipment Coordinator, you will be responsible for the efficient and compliant coordination of shipments for pharmaceutical research substances, formulations, samples, and materials. You will ensure timely delivery to CROs, suppliers, partners, and other Roche sites, playing a crucial role in supporting our research and development activities.
Key Responsibilities:
* *Shipment Coordination & Documentation:*
* Process shipment orders accurately and efficiently.
* Control and manage all necessary documentation required for domestic and international shipments.
* Utilise a digital tool for receiving and tracking shipment requests, enhancing transparency across the shipment community.
* Document and maintain best practices for PS shipments.
* *CITES Shipment Coordination (Single Point of Contact):*
* Serve as the primary point of contact for all CITES (Convention on International Trade in Endangered Species of Wild Fauna and Flora) related shipments.
* Manage the coordination and acquisition of CITES export and import permits for PS.
* Act as the key contact for Swiss authorities (BLV) regarding CITES matters and manage the payment of CITES invoices.
* *Shipment Process Optimisation:*
* Continuously optimise shipment processes to improve efficiency and collaboration, including the working model between Study Managers and Formulation Scientists/Chemists.
* *Shipment Support:*
* Manage the reception of BioSamples in the new pRED Center.
* Coordinate cost-efficient shipping routes in a timely and seamless manner, collaborating with logistics, couriers, and external partners.
**Lab Management (~40%)**
As a Lab Manager, you will be instrumental in ensuring the smooth and efficient daily operations of our PS laboratories. You will manage essential lab resources, champion key systems, and foster a safe and compliant working environment for our lab teams.
Key Responsibilities:
* *Operational Troubleshooting:*
* Oversee shipment logistics, including receipt, storage, and distribution to the final recipient (lab-based).
* Provide daily first-line troubleshooting support for lab operations.
* *Procurement & Supplier Management:*
* Collaborate with Central Logistic Services, Avantor, and other suppliers for effective procurement management of lab materials and biomaterials.
* Oversee material and biomaterial ordering processes.
* Supervise Avantor for the timely replenishment of laboratory logistic areas.
* *Community & Systems Support:*
* Act as the champion for the Scientific Equipment Database (SED).
* Serve as a super user for relevant digital tools, including D-WOW (Digital Ways of Working) and D-SUN (Super Users Community).
* Actively participate and contribute to the pRED Lab Managers community.
* *Safety & Compliance:*
* Manage waste and biowaste processes, including Avantor monitoring.
* Monitor and ensure adherence to established lab etiquette.
* Assist PS Lab Managers and Safety Officers on Safety, Health, and Environment (SHE) matters.
* Onboard new lab colleagues on essential Safety and Compliance procedures.
### Who you are
* You hold a university degree in Science or completed an apprenticeship in the Biomedical field, with at least 2 years of relevant experience, ideally within the pharmaceutical industry.
* You have a highly developed sense of organisation, thriving in environments that demand meticulous attention to detail, efficient process management, and the ability to continuously coordinate complex international logistics.
* You possess a comprehensive understanding of laboratory environments, including equipment maintenance, inventory management, biology experiment procedures, and working under biosafety levels 1 and 2. Knowledge of the GCP working environment and relevant safety regulations is a plus.
* You demonstrate a strong grasp of the specific needs and protocols associated with laboratory environments, encompassing equipment, experimental procedures, and safety regulations.
* You bring experience in streamlining processes by simplifying, harmonising, automating, and digitising them to increase productivity.
* You develop and apply a digital mindset to stay at the forefront of leveraging emerging technologies (e.g. AI, RPA). You continuously update your knowledge of the latest AI developments to enhance business processes and outcomes.
* You create fit-for-purpose solutions and get things done with a “can-do” attitude, demonstrating strong problem-solving skills and the ability to adapt to changing circumstances.
