Tasks
- •Support the Assoc. Director of Project Management
- •Manage office-related requirements for the German Team
- •Establish and manage fleet management processes
- •Serve as the liaison between employees and car rental/leasing companies
- •Coordinate employee inquiries and contracts for company vehicles
- •Manage vehicle delivery coordination and damage assessments
- •Oversee and review fleet-related invoicing processes
- •Develop a deep understanding of the company's vehicle policies
- •Coordinate updates to the car policy with Fleet Management Europe and HR
- •Facilitate onboarding for new employees entitled to a company car
- •Track automotive developments and ensure regulatory compliance
- •Implement strategies to reduce fleet operating costs
- •Monitor vehicle usage and performance for efficiency
- •Prepare reports on fleet status and present findings to management
- •Coordinate vendor onboardings in SAP Ariba
- •Create and edit PRs/POs in SAP Ariba
- •Track and process invoices, including reminders
- •Ensure IT equipment is functioning properly
- •Coordinate technology for meeting rooms and workstations
- •Order IT equipment and create IT tickets
- •Process and coordinate office workflows
- •Manage mail processing and filing
- •Order office supplies for employees
- •Manage access cards and the Envoy app for building access
- •Book meeting rooms and hotels for employees
- •Coordinate the onboarding process for new starters
- •Organize onboarding training days with specific departments
- •Address requests from new starters
