Requirements
- University degree in business administration, office management, or related field
- Several years experience in executive assistance, administrative management, or similar roles, ideally supporting senior leadership
- Proven experience organizing executive meetings, leadership activities, and high-level internal events
- Experience planning and executing large-scale corporate events
- Strong organizational and coordination skills with attention to detail
- Ability to manage multiple priorities in dynamic, international environment
- Ability to organize engagement activities for collaboration and team morale
- High discretion and professionalism with confidential information
- Proficiency in Microsoft Office applications (Outlook, PowerPoint, Word, Excel)
- Image and video editing skills (e.g., Photoshop) a plus
- Strong communication and interpersonal skills
- Structured and solution-oriented working style
- Ability to work independently, coordinate with multiple stakeholders
- Proactive and service-oriented approach
- Fluent written and spoken English and Chinese; German skills a plus
Tasks
- Manage the President's calendar, meetings, and appointments
- Organize and coordinate internal and external meetings
- Prepare agendas, materials, and documentation for meetings
- Follow up on action items and key decisions
- Liaise between the President and key stakeholders
- Facilitate communication with international stakeholders and headquarters
- Prepare documents and meeting materials in English and Chinese
- Organize domestic and international travel
- Manage travel itineraries, accommodation, and logistics
- Manage expense documentation and administrative processes
- Coordinate visits from internal leadership and international guests
- Maintain documentation and records for the President's office
- Review, issue, and archive official documents
- Ensure compliance with documentation policies and standards
- Organize and support executive meetings, workshops, and events
- Provide administrative support for follow-up tasks
- Ensure smooth daily operations of the President's office
