Tasks
- Coordinate international diaries for senior leaders
- Anticipate and resolve scheduling conflicts
- Prepare agendas and materials in advance
- Maintain the Finance calendar
- Schedule EUCAN & International Finance LT and FP&A meetings
- Prepare monthly agendas
- Coordinate speakers and pre-reads
- Capture and circulate meeting actions
- Arrange domestic and international travel
- Manage travel itineraries and visa requirements
- Process expenses in a timely, compliant manner
- Provide travel policy guidance
- Respond to internal and external queries
- Ensure documentation is properly stored and accessible
- Provide administrative HR support
- Coordinate cross-functional workstream meetings
- Manage project trackers and follow-ups
- Raise purchase requisitions
- Support vendor creation requests
- Act as a Super User for Coupa
- Support colleagues on Concur, Travel & Expenses, and other tools
- Troubleshoot first-line queries
- Escalate issues as needed
- Coordinate Baar site forums, town halls, and community-building events
- Manage event logistics, invitations, and onsite materials
- Collect and act on post-event feedback
- Plan Finance offsites end-to-end
- Manage offsite venue, travel, budget, agendas, minutes, and actions
- Ensure offsite events run to time and budget
