- •Completed commercial education (A-level equivalent or higher) or comparable qualification
- •Several years of experience in a secretarial role ideally within an international board/management environment
- •Proficiency in MS Office (Word, Excel, Outlook, Microsoft Teams); SAP knowledge is a plus
- •Excellent written and spoken German and English; confident and professional communication style at board/management level
- •Strong organizational skills and service-oriented attitude with confident demeanor
- •High level of discretion, reliability, and flexibility
- •Independent, structured, and conscientious work style

Tasks
- •Organize and coordinate appointments and meetings for the COO
- •Manage the COO's calendar with precision
- •Handle incoming email correspondence
- •Serve as the first point of contact for calls on behalf of the COO
- •Facilitate smooth information flow with stakeholders
- •Maintain a professional external presence
- •Coordinate internal events and external appearances for the COO
- •Manage meeting logistics including invitations and room bookings
- •Set up technical requirements and catering for meetings
- •Collaborate closely with the Executive Assistant and other executives
- •Prepare documents by printing and compiling materials for meetings
- •Plan and book national and international business trips
- •Process credit card and travel expense reports
- •Manage receipt documentation and time tracking
- •Administer company car logistics
