Requirements
- 3–6 years as Team Assistant, Executive Assistant, Project Coordinator, or Operations Support in international environment
- Preferred experience in technology, energy, communications, public affairs, consulting, government, or startup sectors
- Exceptional organizational, coordination, and multitasking abilities with keen attention to detail
- High professionalism, reliability, and discretion with sensitive information
- Strong communication and interpersonal skills, confident interacting with executives, policymakers, investors, media, and international stakeholders
- Advanced proficiency with Microsoft Office (Outlook, PowerPoint, Excel, Teams) and Google Workspace
- Demonstrated experience in travel coordination, event management, budget tracking, and vendor coordination
- Able to work independently, proactively, and calmly in a fast-paced, international environment
- Fluent in English and German (written and spoken); additional languages are a strong plus
Tasks
- Provide proactive operational and administrative support
- Manage complex international calendars and optimize schedules
- Facilitate internal workflows and cross-functional collaboration
- Act as a communication hub between leadership and stakeholders
- Identify and resolve scheduling conflicts and preparation gaps
- Plan and manage international travel logistics and itineraries
- Support executive participation in high-level engagements
- Prepare detailed travel briefings and logistical plans
- Organize visits from politicians, investors, and media
- Organize political roundtables and strategic government events
- Maintain stakeholder contact lists and manage documentation
- Ensure confidentiality and professionalism in interactions
- Coordinate operational aspects of communication campaigns
- Liaise with PR agencies and external communications vendors
- Support preparation and formatting of presentations and documents
- Oversee content workflows and document consistency
- Assist in planning and executing high-profile events
- Coordinate event logistics and post-event documentation
- Track and manage team budgets and expenses
- Coordinate procurement processes and vendor relationships
- Prepare expense reports and financial summaries
- Support contract management and administrative compliance
- Coordinate onboarding activities for new team members
- Support recruiting coordination and HR-related workflows
- Maintain internal team structures and communication routines
- Foster a collaborative and professionally excellent environment
- Develop and maintain efficiency-enhancing templates and tools
- Support digital collaboration and project management systems
- Identify and propose process improvements
- Ensure best-practice document management and standards
