Operations & People Lead(m/w/x)
Operational leadership for a global research institution, coordinating teams and selecting instructors across Germany and Switzerland. Proven line management and multi-disciplinary team leadership experience required. Cross-country operational coordination.
Requirements
- Several years of experience in operations, people leadership, program management, or general management roles
- Proven experience in line management and leading multi-disciplinary teams
- Strong organizational, coordination, and execution skills with a hands-on mindset
- Ability to own topics end-to-end, from planning through execution and follow-up
- Experience working cross-functionally with HR, Finance, Legal, and Operations

- High level of accountability, reliability, and attention to detail
- Structured, pragmatic, and solution-oriented working style
- Strong written and verbal communication skills; able to interact confidently with internal and external stakeholders
- Ability to prioritize effectively in a dynamic, fast-paced environment
- Willingness to take operational responsibility and be present where needed
- Strategic thinking capability combined with a hands-on execution mindset
- Experience in international or multicultural environments is a strong plus
- Fluency in English is required; German is a strong advantage
- Experience in education, training, or program-based organizations
- Experience in regulated environments, audits, or certification processes
- Experience in supporting organizational change or scaling phases
- Familiarity with Germany / Switzerland operational contexts
- Monthly travel within the region (Germany / Switzerland)
- Participation in on-site audits when required
Tasks
- Lead operational initiatives across Germany and Switzerland
- Coordinate weekly 1:1 meetings with team members
- Facilitate regular team meetings
- Align priorities and timelines across functions
- Interview and select instructors and teaching assistants
- Review employment contracts and HR documentation
- Support HR with country-specific regulations in Germany and Switzerland
- Manage hiring, onboarding, performance management, and separations
- Approve vacation requests
- Oversee certification processes in Germany and Switzerland
- Coordinate certification work with internal teams
- Prepare for audits and maintain documentation
- Participate in on-site audits as needed
- Provide office coordination and operational support
- Plan and execute office relocations
- Travel monthly within Germany and Switzerland
- Review and approve invoices
- Approve salaries following HR processing
- Monitor regulatory and administrative updates
- Attend selected marketing and industry meetings
- Coordinate partnerships and institutional relationships
- Communicate with governmental and public bodies in Germany and Switzerland
- Support marketing planning and initiatives
- Attend program kick-offs and key sessions
- Organize and lead final project presentations and career sessions
- Act as an escalation point for operational and participant issues
- Manage daily email and stakeholder communications
- Solve cross-functional problems and provide operational support
- Handle exceptions and ad-hoc challenges across teams
- Identify operational improvements and organizational efficiencies
- Contribute to long-term structural and process development
