Tasks
- Welcome visitors and candidates
- Coordinate guest arrivals
- Prepare meeting rooms
- Handle incoming and outgoing mail
- Distribute mail
- Archive physical and digital mail
- Respond to general company inboxes
- Coordinate document management
- Ensure organized record-keeping
- Provide administrative support for daily office operations
- Monitor and maintain office, kitchen, and cleaning supply inventory
- Coordinate purchasing and restocking of consumables and office materials
- Manage purchase orders
- Track deliveries
- Organize received goods
- Maintain and develop relationships with external suppliers and service providers
- Support planning and execution of company events and internal gatherings
- Provide logistical coordination for team-building activities and special occasions
- Organize onboarding welcome activities for new employees
- Ensure cleanliness, order, and functionality of shared office spaces
- Coordinate waste management processes
- Maintain communication with waste service providers
- Act as the main contact for cleaning services
- Monitor cleaning service quality
- Conduct facility tours for new employees
- Prepare welcome materials for new employees
- Assist with workspace setup
- Provide guidance on workplace logistics
- Provide guidance on mobility arrangements
- Serve as a point of contact for onboarding inquiries
- Contribute to initiatives enhancing employee engagement and workplace satisfaction
- Act as a first point of contact for workplace questions
- Provide day-to-day workplace support
- Support organization and continuous improvement of shared spaces and employee amenities
- Facilitate social and engagement activities to foster team connection
- Provide guidance on office policies, workplace access, and parking procedures
- Manage parking allocations
- Track parking usage
- Maintain and update workplace policies and documentation
- Coordinate meeting room bookings
- Maintain meeting room scheduling systems
- Support payroll processes by providing mobility and parking data
- Administer transportation subscriptions and related employee services
- Update internal communication platforms with workplace information and announcements
- Create and distribute internal communications on office operations
- Coordinate with external providers and contractors for office maintenance and facilities management
- Manage workspace, furniture, and equipment coordination
- Monitor facilities activities to ensure a safe and functional work environment
- Support budget tracking and expense monitoring with Finance
