- Degree in administration or equivalent certification
- Excellent relationship building and teamwork skills
- High level of tact
- Commitment to discretion and diplomacy

- Ability to work under high pressure and short deadlines
- Comfort with multi-tasking
- Advanced proficiency with Office365 (Word, Outlook, Excel, Teams), Concur, Adobe Acrobat
- Excellent written and verbal communication skills (French, English C2)
Tasks
- Answer and filter incoming telephone calls
- Manage a complex agenda
- Arrange meetings with internal and external stakeholders
- Sort incoming correspondence
- Highlight priority correspondence
- Type high-quality written materials in French and English
- Manage contact and mailing databases
- Maintain an efficient filing system
- Receive high-level visitors
- Coordinate meeting rooms and videoconference setup
- Arrange catering for meetings
- Prepare meeting announcements and invitations
- Coordinate travel for the Chairman and key stakeholders
- Maintain general office supplies stock
- Manage meeting rooms
- Liaise with Facilities on maintenance issues
- Liaise with IT on technical issues
- Process expense claims
- Process invoices
- Liaise with the accounts department for payment follow-up
