Managing Head of Group Communications' schedule and prioritizing stakeholder mail for a large CEE banking group. Proven PA experience, MS Office, and SAP or similar systems proficiency required. Hybrid work model available.
Requirements
- Proven experience as Personal Assistant or similar role
- Excellent organizational and time management skills
- Strong written and verbal communication skills
- Proficiency in MS Office and SAP or similar systems
- Multitasking and daily workload prioritization ability
- Discretion and confidentiality
- Excellent German and English skills; CEE language proficiency a plus
- Attention to detail and problem-solving skills

Tasks
- Prepare and prioritize mail
- Handle mail from media and stakeholders
- Ensure timely mail responses
- Provide feedback on received mail
- Manage the Head of Group Communications' schedule
- Manage the Head of Group Communications' agenda
- Research and collect business information and data
- Act as contact for department communications
- Organize business travel
- Prepare travel cost refund claims
- Manage event timelines and budgets
- Coordinate with internal teams and external vendors
- Identify and secure event venues
- Negotiate event contracts
- Coordinate attendee and speaker logistics
- Manage event staff
- Monitor event budgets and track expenses
- Ensure cost-effective event solutions
- Prepare event financial reports
- Document and reconcile event expenses
- Organize appraisal processes and schedules
- Organize team meetings
- Manage communication rhythms
- Control unit costs, invoices, and reimbursements
- Report on unit costs, invoices, and reimbursements
- Manage financial data using SAP or other systems
- Monitor the department budget
