Requirements
- •Experience supporting senior management as Executive Assistant, Personal Assistant, or Office Coordinator
- •Experience with calendar management, travel coordination, and general office operations
- •Exposure to event planning, marketing coordination, or corporate hospitality
- •Strong organizational, multitasking, and attention-to-detail skills
- •Excellent communication, English & German mandatory, interpersonal skills
- •Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- •Ability to handle confidential information with discretion and professionalism
- •Reliability, proactivity, adaptability, and ability to work independently while supporting a team
Work Experience
approx. 4 - 6 years
Tasks
- •Manage complex calendars and meetings for the CEO and CFO
- •Arrange domestic and international travel for executives
- •Prepare, edit, and organize documents and presentations
- •Coordinate executive signature approvals via DocuSign and wet ink
- •Act as a liaison between executives, internal teams, and external stakeholders
- •Manage communications and follow-ups with stakeholders
- •Provide front-of-house support by welcoming visitors
- •Answer and direct calls, managing reception operations
- •Oversee office operations, including credit cards and travel systems
- •Coordinate company vehicles, supplies, and vendor relationships
- •Organize meetings, catering, and conference room logistics
- •Support corporate events and team-building activities
- •Assist with marketing initiatives as needed
- •Handle sensitive and confidential information with discretion
- •Address ad hoc requests and general operational needs
