Requirements

- Solid experience (3–5 years minimum) in administrative or executive assistant role
- Ideally in an industrial or international environment

Tasks
- Provide high-level administrative support to Site Leader and Leadership Team
- Manage calendars, correspondence, travel, expenses, and approvals
- Plan and coordinate Leadership Team meetings, Town Halls, offsites, and strategic sessions
- Handle meeting logistics, agendas, catering, and follow-up actions
- Oversee daily site operations, including meeting rooms and visitor management
- Coordinate visitor and candidate experience, including site access, parking, and transportation
- Ensure compliance with company policies on expenses, travel, purchasing, events, and vendor management
- Drive continuous improvement by developing templates and standardized practices
- Handle confidential and strategic information with discretion and professionalism
- Support workplace health and safety as a certified on-site first aider
- Draft and distribute internal communications, announcements, and leadership presentations
- Facilitate communication between departments, management, and employees
- Coordinate employee recognition and milestone gestures
- Act as a trusted relay between employees and the Leadership Team
- Escalate relevant feedback to enhance site culture
- Serve as the primary contact for internal and external stakeholders
- Manage general inquiries, calls, and emails
- Support employees with administrative and operational needs
- Create and manage Purchase Orders (POs)
- Coordinate invoice follow-up
- Guide employees in organizing internal events and initiatives
- Organize and coordinate internal events, workshops, team-building activities, and celebrations
- Manage event logistics, including scheduling, catering, room setup, materials, and transport
- Coordinate site visits for guests, candidates, and new employees
- Support ERG (Employee Resource Group) initiatives and events
