Executive Assistant & Information Management Officer(m/w/x)

Tasks
- Plan and coordinate meetings for the Directorate and POM
- Track agenda items and manage logistical arrangements
- Oversee preparation and circulation of relevant documents
- Propose agendas and timelines for meetings
- Ensure compliance with template and layout requirements
- Provide administrative, logistical, and technical support during meetings
- Draft and circulate minutes for POM and Directorate meetings
- Inform departments of requirements for revised background documents
- Consolidate and update follow-up actions
- Update the planning calendar for meetings
- Liaise with the Governance Secretariat on Assembly and Council matters
- Ensure timely submission of documents to the Assembly and Council
- Manage Directorate and Governance submissions (CA/A/ComAudit)
- Develop and maintain a standard briefing file on activities
- Ensure Intranet content remains accurate and up to date
- Provide tailored information to Departments on functioning
- Create and maintain the annual planning calendar
- Conduct semester reviews on session follow-ups and pending items
- Coordinate the HoIRCL's agenda and meetings
- Arrange travel for the HoIRCL as needed
- Organize team meetings and workshops for the HoIRCL
- Manage information flow to the HoIRCL
- Support internal audit process coordination
- Set timelines and organize audit meetings
- Draft email responses and executive summaries
- Manage information with confidentiality and discretion
- Maintain team spaces for the Directorate and POM
- Secure and manage access rights
- Update group lists for accurate communication
- Update the Institutional Calendar with sessions
- Organize briefing sessions for key stakeholders
- Analyze information management needs
- Propose adaptations to processes and tools
- Ensure proper records management
- Coordinate the Office of the Director-General's collaborative space
- Manage information flow within the Office
- Support staff in understanding and applying policies
- Train and coach staff in changing practices
