Site Management Specialist(m/w/x)
Managing daily office, lab, and shared-space operations, including facility maintenance, at a semiconductor company. 2-4+ years in facilities or site management, ideally with fleet/EHS exposure, required. Independent work and flexible approach.
Requirements
- 2–4+ years in facilities or site management, ideally with fleet and EHS exposure
- Strong process discipline and structured documentation skills
- Experience with accounting systems for cost tracking and budgeting
- Ability to work independently and flexibly
- Very good digital organization and MS Office skills
- Proficient interpersonal skills and service-oriented mindset
- Fluency in German and English
- Valid EU Class B driver’s license
- Eligibility for export licensing approval
Tasks
- Oversee daily office, lab, and shared-space operations
- Coordinate facility maintenance and repairs
- Manage day-to-day matters and contract changes with the landlord
- Review annual accounts and site-related financial documents
- Supervise outsourced reception services
- Manage employee-facing providers for phones, bikes, and health memberships
- Organize and execute internal and customer-facing events
- Document and endorse site contracts in the global management tool
- Manage external providers for soft and hard services
- Track performance and SLAs to resolve service issues
- Ensure compliance with global procurement and contract processes
- Manage the lifecycle of approximately 65 company vehicles
- Maintain accurate driver and vehicle data per legal requirements
- Coordinate with fleet partners on maintenance and insurance
- Validate invoices and track total cost of ownership for the fleet
- Support compliance with German workplace safety regulations
- Collaborate with the external Safety Specialist and Occupational Physician
- Maintain SOPs, asset lists, and operational documentation
- Manage structured documentation in SharePoint and OneDrive
- Support project-based work like internal moves or relocations
