Requirements
- Proven experience in facilities management or workplace services operations
- Strong customer service and stakeholder management skills
- Proficiency with CMMS (Corrigo preferred) and ERP (SAP/JDE) systems
- Excellent communication and professional phone/reception etiquette
- Detail-orientation and multi-tasking ability in fast-paced environment
- Knowledge of HS&E regulations and safety compliance
- Experience with vendor management and procurement processes
- Proactive, collaborative teamwork and problem-solving mindset
- Flexibility to adapt to changing priorities and innovative thinking
Tasks
- Greet, assist, and direct visitors.
- Issue ID and access badges.
- Maintain badge issuance records.
- Conduct site inductions for new vendors.
- Receive, direct, and relay queries.
- Book onsite meeting rooms and hospitality.
- Liaise with site managing agent and security.
- Provide timely reports to IFM Operations Lead.
- Provide timely reports to the Account Director.
- Manage and track scheduled work completion.
- Conduct daily checklists with vendor staff.
- Review and manage supplier performance.
- Manage the Facilities Helpdesk Platform.
- Liaise with local service providers.
- Ensure compliance with JLL Best Practice.
- Ensure compliance with JLL policies and procedures.
- Support property in achieving contract objectives.
- Implement JLL Best Practices and standards.
- Coordinate office equipment repair and maintenance.
- Order office supplies.
- Track and chase outstanding maintenance issues.
- Organize vendor meetings and reviews.
- Help develop vendor relationships.
- Ensure vendors understand client culture.
- Initiate and close purchase orders.
- Maintain purchase order files.
- Prepare invoice back-up for accounts payable.
- Liaise with Nielsen’s finance team.
- Develop and update seating charts.
- Develop and update organizational charts.
- Develop and update Google document presentations.
- Understand building services impact on operations.
- Plan accurate and detailed handovers.
- Conduct monthly EHS site inspections.
- Report accidents and incidents to JLL EHS Manager.
- Complete necessary monthly reports.
- Understand and support JLL’s Quality Management program.
