Requirements

  • Experience overseeing facilities maintenance or operations
  • Team management experience
  • Business fluency in German and English
  • Ability to work independently or on a team
  • Technical or college degree preferred
  • Understanding of compliance, safety, and KPIs
  • Knowledge of commercial MEP systems preferred
  • Excellent communication and organizational skills
  • Strong written and analytical skills
  • Ability to manage complex contracts

Tasks

  • Support Facilities Operations Managers in delivering operational standards
  • Monitor and report on hard and soft FM vendor performance
  • Chair performance review meetings regarding SLAs and KPIs
  • Hold vendors accountable for performance gaps and action items
  • Maintain up-to-date maintenance and cleaning performance scorecards
  • Track serviced assets to ensure legislative compliance
  • Ensure all building services meet legal and statutory requirements
  • Manage service contract costs and report on financial risks
  • Prepare annual service contract budgets based on future expansion
  • Oversee lift vendors and statutory inspection schedules
  • Support the legal team with liquor license processes
  • Act as a subject matter expert for Workday and Salesforce
  • Manage vendor invoicing, payment processes, and purchase orders
  • Lead monthly Opex reviews and manage accruals
  • Maintain cost trackers across all markets for fixed and variable costs
  • Support managers with underperforming vendors
  • Monitor the contract expiration pipeline
  • Collaborate with procurement to source and RFP new vendors
  • Analyze performance to manage contract reviews and renewals
  • Administer vendor onboarding, building additions, and terminations
  • Identify and implement cost efficiencies within existing contracts
  • Manage the legal approval and signature process for new agreements
  • Support the mobilization of new vendor contracts
  • Develop strategies and procedures to ensure systems are fit for purpose
  • Audit documentation and create new departmental policies
