Assistant Facilities Manager(m/w/x)
Assisting with on-site property maintenance, operations, and contract services, managing Corrigo helpdesk for real estate clients. Facilities management experience and fluent German (C1/native) required. Exposure to diverse real estate portfolios.
Requirements
- Experience in facilities management, building, or business
- Fluent German (native or C1 level)
- Strong English communication skills
- Excellent people and client interaction skills
- Knowledge of local Safety requirements
- Strong PC literacy and systems management
- Experience with continuous improvement initiatives (desirable)
- Knowledge of specialized service vendor management
- Capacity to interpret commercial contracts
- Budget management and financial analysis skills
- Strong communication skills
Tasks
- Assist in managing tactical delivery for assigned properties
- Act as the primary on-site contact for stakeholders
- Oversee maintenance, operations, and contract services
- Purchase materials, equipment, and supplies within budget
- Manage occupancy services and the Corrigo ticketing helpdesk
- Build effective relationships with key client stakeholders
- Participate in weekly operations meetings with the client
- Respond to requests and emails professionally and timely
- Coordinate vendors to ensure timely service delivery
- Liaise with vendors to schedule planned and reactive works
- Collate service records and compliance data for logbooks
- Oversee office cleanliness and manage stationery and beverage stocks
- Monitor contract expiries and initiate re-procurement processes
- Assist with financial operations and accounts payable procedures
- Implement safety procedures and ensure statutory health compliance
- Conduct regular site inspections to identify and document risks
- Coordinate building access and authorizations for works
- Maintain office equipment including HVAC, lighting, and furniture
- Implement innovations to reduce costs or improve experience
- Support disaster recovery and business continuity plans
