Requirements

  • 3+ years in agencies or consulting
  • Structured, organised, reliable
  • Love for operations, checklists, and processes
  • Ability to manage many tasks and projects efficiently
  • Clear communication and follow-through
  • Experience in digital agencies or consulting (2-5 years, senior level)
  • Calm and practical during busy times
  • Digitally savvy, comfortable with Google Tools, PM software, automation, AI
  • Strong understanding of the digital domain (web development, digital marketing) is an advantage
  • Attention to detail
  • Experience in Swiss business environment, including regulations and obligations of a Swiss AG
  • Mother tongue DE, fluent in CH-DE and EN

Work Experience

Tasks

  • Handle day-to-day people requests
  • Improve processes based on incoming issues
  • Support recruitment and resourcing decisions
  • Run check-ins and follow-ups
  • Lead project debriefs to capture learnings
  • Resolve small client issues before escalation
  • Coordinate urgent solutions
  • Review proposals for structure and quality
  • Prepare offers based on input from the Founder
  • Provide input on projects and special cases
  • Collaborate with the Head of Delivery on deadlines and scope clarity
  • Work with the Head of Client Relations on client health and satisfaction
  • Engage with Technical Advisors on service quality and innovation
  • Organize processes and systems
  • Manage documents, tools, and reporting
  • Approve smaller payments and internal expenses
  • Review the Founder’s calendar and align priorities
  • Identify and fix operational gaps
  • Enhance internal processes across finance and delivery
  • Ensure consistent and predictable company operations
  • Conduct process compliance checks
