Executive Assistant(m/w/x)
Maintaining Salesforce records and coordinating client meeting logistics at a financial services firm focused on wealth management. 7+ years of executive assistant or sales support experience, Salesforce proficiency essential. 25 days annual leave.
Requirements
- Bachelor’s Degree preferred
- 7 or more years of executive assistant, project management, sales support, or other transferable experience
- Proficiency in Salesforce, Seismic, Tableau, Microsoft Word, PowerPoint, Excel, Teams
- High degree of professionalism and strong work ethic
- Strong editing and proofreading skills
- Proactive thinking and anticipation of needs
- Ability to work independently with minimal direction
- Excellent written and verbal communication skills in (Swiss-)German and English, desirably in French
- Strong attention to detail, accuracy, and completeness

- Strong critical thinking and logic skills
- High level of productivity and self-direction while multi-tasking
- Proactive problem solving
Tasks
- Partner with sales representatives to maintain Salesforce records
- Track client life cycle events, including opportunities and correspondence
- Ensure high-touch service for clients throughout the client life cycle
- Secure client meeting materials and coordinate Compliance approval
- Schedule and coordinate meeting logistics, including video conferencing
- Prepare printed meeting materials and manage other logistics
- Coordinate international travel arrangements and prepare itineraries
- Assist with local client events
- Provide management reporting for regulatory requirements
- Process expenses, invoices, and client reimbursements for the Zurich team
- Liaise with IT to resolve mobile device issues
- Perform administrative duties and special projects as assigned
- Coordinate relationships with local suppliers
- Conduct independent research projects as assigned
- Collaborate with other Executive Assistants and provide backup support
