Tasks
- Provide exceptional customer service to internal and external customers
- Work closely with the DACH Lead and WPS team members
- Maintain a consistent, well-groomed appearance
- Welcome guests, suppliers, and employees professionally
- Ensure the reception area is presentable at all times
- Act as the single point of contact for visitors
- Coordinate transportation and parking arrangements
- Manage the wardrobe and offer welcome beverages
- Register visitors according to corporate security policies
- Ensure compliance with corporate security policies
- Handle incoming calls on the main telephone line
- Maintain knowledge of meeting facilities and local businesses
- Ensure a representative and seamless office operation
- Deliver the Salesforce refreshment program
- Supervise all Guest Services processes
- Take ownership of meeting and catering tasks
- Manage meeting booking requests
- Coordinate event requests through internal channels
- Book spaces, coordinate catering, and setup equipment
- Ensure catering quality and presentation standards
- Comply with Health & Safety regulations
- Create a memorable guest experience
- Welcome meeting hosts and guide them to venues
- Support basic AV troubleshooting
- Plan and oversee in-office events
- Act as the point of contact for facilities matters
- Conduct regular facility maintenance checks
- Coordinate preventive maintenance and repairs
- Review quality of janitorial services
- Maintain relationships with building maintenance and landlord
- Follow corporate security processes for external vendors
- Coordinate local roll-out of global WPS initiatives
- Supervise planned and reactive maintenance
- Build relationships with local office communities
- Communicate with local office communities via email and Slack
- Inform about office news, events, and changes
- Minimize disruptions from office maintenance
- Promote WPS customer satisfaction surveys
- Communicate IT-related topics with the IT department
- Contribute to reporting and meeting agendas
- Execute Space Champion duties
- Participate in cross-regional task forces
- Ensure compliance with German Health and Safety regulations
- Maintain JLL H&S documents
- Complete and follow assigned trainings
- Support the organization of SF First Aid Trainings
