Executive Assistant Region Head EMEAC & LATAM(m/w/x)
Optimizing agenda and coordinating international communications for a Region Head EMEAC & LATAM in dermatology. Experience in international matrix organizations essential. Direct support for a high-level international executive.
Requirements
- Diploma in Secretarial Studies, Tourism, Hospitality Management, or relevant qualification
- Previous experience in a similar role within an international, matrix organization
- Fluency in English (oral and written); additional European language is an asset
- Proficiency in MS Office (Excel, PowerPoint, SharePoint); familiarity with Concur or other financial software
- Ability to multi-task, prioritize, and take ownership of tasks
- High sense of responsibility, agility, and independent working practice
- Positive, dynamic attitude with commitment to high-level client service, discretion, and confidentiality
- Reliable, committed personality with high integrity for handling confidential information
- Self-motivated with ability to adapt to a rapidly changing environment
- Experience in dynamic, change-focused environments and complex structures
- Excellent organizational skills, with ability to plan and organize work efficiently
- Ability to maintain a calm, professional approach during busy, high-volume periods
- Prior experience in a complex and fast-paced regional Commercial organization
Tasks
- Manage and coordinate the agenda and phone calls
- Screen all received calls and optimize the agenda
- Provide documents and information for confirmed appointments
- Coordinate monthly expense reports and submissions
- Maintain a document filing and archiving system
- Organize meetings and events, including logistics
- Coordinate travel arrangements, including bookings and visas
- Manage last-minute travel changes and cancellations
- Provide backup support for other Administrative Assistants
- Assist with ad-hoc tasks and projects while maintaining confidentiality
- Support project management to ensure goal achievement

- Vocational certification
