Requirements
- Administrative, finance coordination, or similar role experience
- Regulated environment experience (pharma, biotech, medical devices) is a plus
- Strong organizational skills, attention to detail and accuracy
- Financial data handling accuracy
- Structured, proactive, solution-oriented working style
- Ability to manage multiple tasks and prioritize
- Ability to meet deadlines
- Good German communication skills (written and verbal)
- Good English communication skills (written and verbal)
- Confident Microsoft Office 365 user (Excel focus)
- Document management systems or ERP tools experience is an advantage

Tasks
- Process incoming invoices
- Verify and assign accounts
- Upload invoices to the system
- Coordinate with international stakeholders
- Monitor global RA budget
- Maintain budgeting systems
- Collaborate with Controlling
- Track monthly budget
- Handle accruals
- Comment on HQ cost control reports
- Manage billing-related topics
- Support new colleagues with payment processes
- Provide administrative support
- Coordinate legalization processes
- Manage courier shipments of regulatory documents
- Update Regulatory Affairs intranet page
- Maintain shared resources
- Organize internal meetings
- Document cross-functional meetings
- Track meeting actions
