Anforderungen

  • Minimum 3 years of experience in office management or hospitality
  • Experience in coordination of service delivery, including vendor management
  • Excellent communication and teamwork skills
  • Politeness, confidence, and patience

  • Affinity for using innovative software like Google, Quip, and Salesforce

Aufgaben

  • Act as the Workplace Services representative for the Zurich office community
  • Manage employee requests through the internal ticketing tool, Slack, email, or in person
  • Build partnerships with Serviced Office Providers to ensure smooth operations
  • Conduct event space bookings and support event planning
  • Source and coordinate catering and other event vendors
  • Oversee service delivery from various vendors for events
  • Ensure compliance with Swiss security and health regulations
  • Maintain a list of catering suppliers and vendors for flexibility
  • Consider dietary requirements and sustainability values for events
  • Collaborate with reception staff to ensure excellent guest services
  • Supervise mail handling in collaboration with the Service Provider
  • Handle mail for all Swiss legal entities, including stakeholder documents
  • Implement and maintain Salesforce procedures with the WPS Lead
  • Track spending and handle invoices for Workplace Services Operations
  • Ensure data accuracy as Space Champion for facilities
  • Welcome and orient new hires
  • Share onboarding and offboarding information with the Serviced Office Provider
  • Build relationships with local office communities and stakeholders
  • Document and participate in monthly KPI meetings with the Serviced Office Provider
  • Ensure compliance with security standards for all employees and visitors
