- Manage complex calendars for three department heads
- Prioritize appointments and deadlines for three department heads
- Coordinate executive travel, planning, and bookings
- Reconcile executive travel expenses
- Prepare documents and presentations in English and German
- Organize rooms for internal and external meetings
- Handle logistics for internal and external meetings
- Capture accurate meeting minutes
- Participate in PMO-focused projects
- Track project progress and success metrics
- Prepare professional presentations for leadership
- Prepare status updates for steering committees
- Organize and manage department events
- Manage event budgets
- Coordinate event vendors
- Reconcile event costs
- Manage procurement processes
- Manage invoices in SAP
- Maintain organizational charts
- Assist with annual accounts
- Handle onboarding and offboarding administration
- Support legal processes
- Coordinate document signatures
- Coordinate with notaries
- Support digital process improvements in the CFO department
- Contribute to system optimization initiatives
