Requirements

  • Experience in luxury fashion, agency, lifestyle, or related industries
  • Project management and global event execution focus
  • Management of multiple complex timelines, budgets, and teams
  • Budget tracking, supplier negotiation, financial reconciliation, and invoicing
  • Exceptional attention to detail in presentations, budgets, and materials
  • Communication and presentation to senior stakeholders, partners, and suppliers
  • Leading, guiding, or mentoring junior team members
  • Problem-solving skills for logistics, shipping, customs, or delivery
  • Highly organized and proactive
  • Ability to maintain structure in a fast-paced international setting
  • Fluency in English
  • German or additional languages are an advantage
  • Willingness to travel internationally
  • Support on-site event execution when required

Tasks

  • Manage full project lifecycle of global events
  • Develop and maintain project timelines
  • Ensure stakeholder alignment on milestones
  • Oversee event budgets with precision
  • Handle cost forecasts and supplier agreements
  • Manage purchase orders and invoices
  • Mentor junior team members in budget management
  • Review internal event decks and presentations
  • Proofread for accuracy and brand alignment
  • Consolidate project overviews for leadership
  • Lead internal project meetings
  • Assign responsibilities and track progress
  • Ensure deadlines are met
  • Maintain structured communication
  • Provide clear project updates
  • Flag delays, risks, and budget deviations
  • Coordinate event logistics
  • Manage shipping of materials and products
  • Handle customs and deliveries
  • Arrange gifting and set-up logistics
  • Manage guest travel arrangements
  • Resolve logistical challenges
  • Manage complex, long-lead projects
  • Ensure timeline discipline and premium delivery
  • Collaborate with PR, Marketing, Creative, Buying, Logistics, and Finance
  • Deliver seamless and premium event experiences
  • Maintain accurate documentation and processes
  • Create and maintain timelines, budgets, contacts, reports, and post-event recaps
