Requirements

  • IP administration/docketing experience or legal operations background
  • Good English skills for daily communication
  • Basic understanding of IP administrative workflows
  • Comfort working with external service providers
  • Strong organizational skills, attention to detail, data accuracy
  • Experience using IP Management Systems (helpful)
  • Ability to coordinate travel, meetings, and events
  • Openness to work in a global team and build new processes
  • Collaborative mindset and willingness to coordinate tasks independently
  • Encouraged to apply even if not meeting every point

Tasks

  • Maintain and update IP correspondence and data in Memotech
  • Track IP deadlines and ensure timely task completion
  • Coordinate administrative workflows for IP practitioners in Germany
  • Align workflows with global IP procedures and colleagues
  • Support Employee Invention Remuneration process
  • Communicate with inventors for remuneration process
  • Handle documentation for remuneration process
  • Manage central IP mailbox
  • Document incoming messages
  • Coordinate follow-up with IP team members
  • Review and process invoices
  • Create purchase requisitions in SAP
  • Coordinate annual fee payments with annuity providers
  • Act as first contact for external patent law firms
  • Forward requests to internal experts
  • Work closely with R&D, Finance, and Accounting teams
  • Coordinate with global IP teams in Japan and the U.S.
  • Support global procedures and process improvements
  • Organize travel bookings for the IP function
  • Plan and prepare team events
  • Plan and prepare department meetings
  • Plan and prepare visits of external guests
  • Arrange rooms, catering, and logistics for events
  • Support development of harmonized global docketing processes
  • Help implement new workflows
  • Help implement new documentation standards
  • Help implement new communication structures
