Event Manager (Ecosystem & University Events)(m/w/x)
Managing scientific conferences, business summits, and campus celebrations for an international education ecosystem. 5+ parallel events execution experience required. Direct exposure to senior leadership and world-class academics.
Requirements
- Hands-on event management experience across multiple event types
- Experience with corporate/business events
- Experience with academic, scientific, or university events
- Strong project management skills
- Ability to run 5+ events in parallel
- Solid operational knowledge of event logistics
- Knowledge of venue and space planning
- Knowledge of AV and production
- Knowledge of signage and branding
- Knowledge of catering
- Knowledge of accommodation
- Knowledge of speaker coordination
- Confident negotiator with vendors and suppliers
- Track record of delivering events on budget
- Excellent people skills
- Ability to make people feel well looked after
- Comfortable working in international environment
- Comfortable working across time zones
- Self-directed and resourceful
- Fluency in English
- German language skills (at least B2)
- Willingness to travel internationally
- Willingness to work occasional evenings and weekends
- Experience with scientific or academic conferences
- Experience with calls for papers
- Experience with programme committees
- Experience with abstract management
- Experience producing executive-level events
- Experience producing board meetings
- Experience producing partner summits
- Experience producing press conferences
- Familiarity with event tech stack
- Familiarity with registration platforms
- Familiarity with hybrid streaming
- Familiarity with CRM integration
- Experience in pitching event-related content
- Experience in placing event-related content with media
Tasks
- Lead a diverse calendar of events including scientific conferences, business summits, and campus celebrations
- Manage events for students, faculty, staff, partners, media, and the broader Constructor community
- Translate the annual event plan into detailed proposals and strategies
- Develop event concepts tailored to different audiences, from scientific symposiums to student festivals
- Execute events from start to finish, handling venue selection, AV, signage, catering, and on-site staffing
- Identify, secure, and host speakers, panellists, special guests, and VIPs
- Manage the full guest journey, from invitation to follow-up
- Build and maintain a network of reliable suppliers for production, catering, AV, and design
- Negotiate contracts, manage budgets, and track spend
- Collaborate with marketing and PR on event promotion, content, and media engagement
- Work with academic departments, executives, and student affairs on various events
- Define and track KPIs for each event, gather feedback, and report results
- Continuously improve events based on feedback and performance metrics
- Generate and implement new event ideas and production approaches
