Requirements
- •Certified Patent Paralegal, equivalent training, or 5 years' experience
- •Strong communication and interpersonal teamwork skills
- •Exceptional organization skills and meticulousness
- •Knowledge of patent terminology and filing procedures
- •Innovative thinking and sound decision-making
- •High level of accuracy
- •Problem-solving and solution-oriented mindset
- •Flexibility in work approach
- •Ability to manage multiple priorities under pressure
- •Ability to learn new IP management software
- •Proficiency in Microsoft Office and Adobe Acrobat
- •Fluency in English
- •Experience with Anaqua or equivalent IP software
- •Experience with e-billing systems
Tasks
- •Support IP attorneys with daily prosecution tasks
- •Ensure timely filing of all IP documents
- •Docket and monitor worldwide patent deadlines
- •Monitor group mailboxes for reporting and instructions
- •Coordinate filing recommendations and portfolio activity
- •Create new invention and patent records
- •Support annual patent portfolio reviews
- •Update patent management systems and files
- •Instruct law firms on portfolio maintenance
- •Assist in finalizing Invention Disclosure Forms
- •Coordinate inventor signatures and document execution
- •Manage inventor remuneration workflows and claiming letters
- •Oversee signature processes via DocuSign
- •Handle assignments, declarations, and powers of attorney
- •Coordinate board-level signatures and notarizations
- •Partner with outside counsel on formalities
- •Review patent expiration dates and annuities
- •Develop internal quality control procedures and checklists
- •Prepare detailed patent status reports
- •Collaborate with counsel to improve workflows
- •Archive files and laboratory books
- •Coordinate with accounting and cross-functional teams
- •Apply for and modify purchase orders
- •Contribute to specialized IP-related projects
