Requirements

  • Bachelor’s degree or diploma in Tourism, Hospitality, Business Administration, Event Management, or related field
  • Certification in Travel Coordination or similar (plus)
  • Professional experience in administrative support, travel coordination, or hospitality
  • Experience with online travel booking platforms (e.g. Concur, Booking.com, Expedia for Business, etc.) (highly desirable)
  • Exposure to corporate travel planning processes (advantageous)
  • Strong organizational skills and task prioritization
  • Excellent communication and interpersonal skills, service-oriented
  • High attention to detail and accuracy
  • Basic negotiation skills with travel providers and hotels
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and travel/expense software
  • Ability to work under pressure and respond flexibly to changes
  • Fluent German and good command of English
  • Proactive, reliable, responsible, and discreet
  • Positive attitude, team player, and willingness to learn
  • Strong sense of confidentiality with sensitive travel data

Tasks

  • Coordinate domestic and international travel arrangements
  • Book flights, trains, and ground transportation
  • Ensure accurate and compliant travel itineraries
  • Communicate travel details clearly to travelers
  • Research and book appropriate hotels and accommodations
  • Handle changes and cancellations promptly
  • Manage urgent accommodation needs
  • Serve as the main contact with the travel agency
  • Monitor travel agency performance and service quality
  • Collect and report traveler feedback
  • Review agency invoices and bookings for accuracy
  • Generate monthly or quarterly travel reports
  • Maintain organized booking and invoice records
  • Ensure compliance with internal travel policies
  • Provide travel policy support and clarification
  • Propose improvements to travel processes and policies
