Tasks
- Manage complex scheduling for the team across time zones
- Handle day-to-day team coordination tasks
- Prioritize information flows for the Head of Global Commercial Excellence
- Coordinate travel-related tasks for the Head of Global Commercial Excellence
- Perform ad-hoc administrative duties
- Support project management activities
- Identify opportunities to improve team efficiency and processes
- Prepare high-quality presentations for leadership
- Prepare high-quality presentations for team communications
- Plan and execute internal and external events and workshops
- Coordinate directly with event vendors
- Book meeting rooms
- Arrange catering for larger meetings and workshops
- Collaborate with local office administrators for facility coordination
- Coordinate IT equipment for new team members
- Set up workplaces for new team members
- Support new joiners and external partners during onboarding
- Assist with IT system and HR platform access
- Assist with general administrative setup
- Manage Statement of Work (SoW) and invoice processes
- Document SoW and invoice processes
- Track signatures for SoW and invoices
- Follow up on internal payments (e.g., vendor invoices, travel expenses)
- Ensure accuracy and compliance with internal financial workflows
- Prepare and submit purchase requisitions
- Submit purchase orders using Instore
- Ensure compliance with approval workflows for purchases
- Maintain an overview of existing purchase orders
- Accurately book received goods in Instore
- Process tax-relevant team activities using internal systems
- Provide accurate and timely information for tax processes
Work Experience
