- Proficiency in common ship operations and terminology
- Good understanding of petroleum product specifications
- Good understanding of financial instruments and shipping documents
Tasks
- Execute daily operational activities
- Prepare voyage orders and letters of indemnity for ship owners
- Review stowage plans for efficiency
- Monitor vessel progress during voyages
- Appoint third-party providers according to group policy
- Obtain clean acceptance of vessels and notify Chartering of progress
- Check freight calculations against contracts and arrange timely payments
- Liaise with Finance to provide accurate data for issuing letters of credit and obtaining purchase orders
- Issue documentary instructions to suppliers
- Handle customs exportation and importation processes as needed
- Ensure timely invoicing and payment for cargoes
- Monitor accounts receivables and issue interest invoices when applicable
- Maintain organized electronic contract and shipping files
- Update Pluto regularly to reflect the latest information and minimize exceptions
- Prepare cargo and charterer liability insurance declarations promptly when applicable
- Complete voyage reconciliations to identify loss or gain differences for each operation
- Monitor and advise the deals desk on all transaction-related costs
- Optimize operations for commercial advantage while meeting contractual obligations
- Manage storage logistics and complete storage reconciliations
- Maximize recoveries and ensure proper documentation of third-party claims
- Maintain effective working practices with trade support divisions
- Establish and maintain good relationships with contractual counterparts and service providers
- Train less experienced operations team members to enhance their knowledge and awareness
- Follow internal procedures and adhere to company policies and codes of conduct
- Identify and escalate operational issues to the Regional Manager for guidance
- Foster strong relationships with contractual counterparts and third-party service providers
