Requirements
- Commercial apprenticeship (KV) or similar qualification
- Office management, administrative coordination, or similar role experience
- Strong organizational and multi-priority management skills
- Proactive, hands-on, and service-oriented mindset
- Structured, detail-oriented, reliable working method
- Effective cross-team and stakeholder coordination ability
- Proficient in digital tools (MS Office, SharePoint, expense systems)
- Discretion and professionalism with sensitive information
- International or multi-location environment experience (plus)
- Willingness to travel occasionally within Europe
- Fluent English and German or French (written and spoken)
Tasks
- Manage daily office operations
- Ensure a well-organized and efficient workplace
- Serve as a key point of contact for employees, vendors, and external partners
- Support regional offices with administrative coordination and logistics
- Process invoices and ensure timely payments
- Coordinate travel bookings and logistics
- Handle employee travel queries
- Support expense processes
- Manage external service providers
- Organize meetings and internal office activities
- Coordinate conference participation and attendance
- Plan and support external events
- Initiate client appreciation initiatives
- Support employee lifecycle administration
- Coordinate onboarding processes
- Manage employee documentation
- Assist with visa applications
- Handle business travel documentation
- Maintain and update internal tools
- Update internal documentation (e.g., SharePoint)
- Provide first-level IT support
- Liaise with internal teams
- Collaborate closely with regional HR
- Support the global administrative team
- Act as a back-up for your counterpart
