Requirements
- Several years of experience in admin, assistance, or coordination
- High school diploma, commercial apprenticeship, Bachelor's or Master's degree
- Proactive thinking and clear communication
- Positive attitude and calmness under pressure
- AI fluency and tech versatility
- Ability to quickly learn and adapt to new tools
- Fluent German and English
Tasks
- Manage office suppliers and contracts
- Handle mail, building, and IT equipment logistics
- Coordinate and execute office events
- Book venues and negotiate better rates
- Greet and assist visitors, candidates, and customers
- Maintain the founder's calendar and inbox
- Protect the founder's focus time
- Cancel unnecessary meetings
- Plan and book travel arrangements
- Coordinate end-to-end trip logistics
- Update CRM entries after meetings
- Keep ATS records current
- Ensure follow-up tasks are completed
