Tasks

  • Conduct weekly building walks
  • Assess building maintenance issues
  • Record findings from building walks
  • Address internal space requirements
  • Organize and assist with team moves
  • Monitor stock levels of employee stationery and consumables
  • Place orders with suppliers for stationery and consumables
  • Manage internal building moves with the Facilities Manager
  • Maintain floor plans
  • Assist in setting up internal and external events
  • Report defective H&S equipment to the appropriate person
  • Arrange for repairs of defective H&S equipment
  • Support the Office Service Coordinator with vendor management
  • Support the Office Service Coordinator with soft services
  • Manage fire wardens and first aiders
  • Assist with scheduling training and refresher training
  • Maintain and review manuals, handbooks, and guidance
  • Cover receptionist duties as needed
  • Understand primary responsibilities of Meeting and Events
  • Support the Meeting and Events Specialist as needed
  • Manage daily mailroom operations, deliveries, and inquiries
  • Maintain knowledge of basic procedures
  • Maintain knowledge of courier suppliers
  • Maintain knowledge of external key contacts
  • Manage the client ticket portal (SIM-T)
  • Support the CORRIGO ticket system
