- Welcome visitors and handle mail
- Manage office access and be the first point of contact
- Provide day-to-day operational support to team members
- Address team member questions and requests
- Plan and coordinate team events and days
- Maintain office tidiness and stocked supplies
- Ensure meeting rooms are always ready
- Support a consistent workplace experience for remote employees
- Ensure remote employees have the right setup
- Lead a small team of two
- Conduct regular check-ins and feedback sessions
- Manage team member development conversations
- Ensure team members have necessary resources
- Manage the onboarding experience for new joiners
- Manage the offboarding experience for departing members
- Ensure new joiners have a great start
- Maintain office technology, including screens and video calls
- Set up meeting rooms
- Serve as the first point of contact for tech issues
- Liaise with IT for technical fixes
- Handle travel bookings and coordination for team members
- Coordinate travel for C-Level executives
- Manage flight and hotel bookings
- Oversee travel guidelines and follow-ups
- Manage vendor and service provider relationships
- Oversee facilities and supply vendors
- Manage vendor contracts
- Ensure vendor delivery and cost control
- Implement health and safety requirements
- Support the CEO with document handling
- Manage CEO scheduling
- Handle CEO correspondence
- Assist with shareholder communication
- Provide board-related administrative support
- Assist with payroll administration
- Support accounting administration
