Receptionist / Office Services Support(m/w/x)
Managing office reception, switchboard, mail, and coordinating external suppliers for office maintenance. Minimum 3 years in a support function and good Microsoft Office knowledge required. Standard office hours, in-person role.
Anforderungen
- Relevant experience in a similar role
- Minimum 3 years of experience in a support function like office manager or receptionist
- Good knowledge of Microsoft Office
- Excellent organisation and time management skills
- Structured way of working and ability to prioritise
- Collaborative, communicative, team player mindset
- Ability to handle sensitive information with discretion
- Fluency in German (native speaker level) and English; any other language is an added benefit
- Valid class B driver’s licence
Aufgaben
- Manage the office reception
- Serve as the primary contact for the telephone switchboard
- Handle daily mail and courier services
- Oversee the reception email inbox
- Ensure office maintenance with external suppliers
- Maintain kitchen facilities and restock fridges
- Manage meeting room reservations
- Prepare conference rooms for meetings, including arranging beverages and catering
- Coordinate office and team events
- Act as the primary IT contact for employees
- Coordinate employee on-boarding and off-boarding
- Set up IT equipment for new employees
- Manage company mobile devices and contracts
- Order office supplies and maintain stock levels
- Coordinate company parking and allocations
- Support the Management Assistant with event coordination and administrative tasks
