Administrative and content-related support for executive leadership at auto parts supplier with 4,000+ employees. Native-level English or German and high AI tool proficiency required. High degree of autonomy to shape the role, direct feedback environment.
Anforderungen
- Several years of experience as Personal Assistant, Executive Assistant, or comparable role
- Experience in dynamic, international environments (asset)
- Excellent MS Office skills (PowerPoint, Excel, Word)
- High digital affinity and confidence with modern AI tools
- Native speaker of English or German
- Full professional proficiency in both languages (written and spoken)
- High flexibility, reliability, and discretion
- Hands-on mentality and strong solution orientation
- Ability to work precisely, structured, and calmly under pressure
- Friendly, professional, and confident presence
- Strong interpersonal skills and ability to interact with all hierarchy levels
- Proactive mindset, ownership, and independence
- Strong command of Word, Excel, PowerPoint and confident use of AI tools (e.g., Copilot)
- Ability to research, structure, and transform information into high-quality, executive-level outputs
Aufgaben
- Provide day-to-day support to the CEO and CHRO
- Manage complex calendars
- Arrange executive travel
- Process expenses
- Coordinate internal and external meetings
- Prepare and structure meetings
- Develop meeting agendas
- Follow up on meetings
- Draft Executive Board meeting minutes independently
- Create, refine, and format PowerPoint presentations
- Create, refine, and format reports
- Create, refine, and format management documents
- Support preparing decision papers
- Contribute to strategic topics as needed
- Ensure clear, professional communication across all organizational levels
- Draft, edit, and proofread texts in English and German
- Coordinate office operations
- Ensure smooth daily office processes
- Serve as a key contact for internal and external stakeholders
- Proactively identify executive needs
- Anticipate executive challenges
- Think ahead for the executive
- Utilize Word, Excel, and PowerPoint
- Use AI tools (e.g., Copilot) to increase efficiency
- Research and structure information
- Transform information into executive-level outputs
